Meeting Spaces Policy

Policy 03

Library Meeting Spaces

1. Applications for library meeting spaces are available to library members with a current Citrus County library card. Library meeting spaces include community rooms and study rooms.

2. When not in library use, which takes precedence over any other use, meeting spaces are available on a first-come, first-served basis to non-profit groups and organizations for programs of an educational, informational, or cultural nature.

3. All programs and activities offered in library meeting spaces are open to all persons regardless of race, creed, sex, ethnic origin, or disability. Activities held in public meeting spaces must be open to the public at all times and users cannot bar other individuals from access to them.

4. Meetings or activities must be held during regular library hours and end a minimum of fifteen minutes prior to closing. Meeting spaces may be reserved in advance through the library’s online reservation system.

5. The library reserves the right to modify hours of accessibility, event times, and reservations based on library need.

6. Meeting space cancellations should be made at least two days prior to event date.

7. Groups using library meeting spaces are responsible for setting up the room and returning it to its original condition.

8. Organizations are responsible for securing any performance licenses for content being presented. Light refreshments may be allowed in designated areas with library approval and requests must be made through the online application at the time of the request for use. Organizations assume responsibility for damages to meeting spaces and contents during use and will be charged for any necessary repairs or replacements.

9. Members needing to use the room’s audio-visual equipment must arrange for assistance at the time of reservation.

10. Groups may not solicit, collect, or charge fees in meeting spaces.

11. Sales and promotions are not permitted without prior approval by library administration. Businesses and other for-profit organizations may use library meeting spaces for programs of a general informational nature so long as they do not seek to actively promote their individual enterprise, solicit clients, or develop follow-up contacts from participants. Such organizations may reserve meeting spaces a maximum of four times a year across the entire library system.

12. The sale of materials necessary for certain training programs leading to certification may be allowed with library approval. No sales may occur in meeting spaces unless library administration deems it supportive of the library’s mission and preauthorizes the sale.

13. The library reserves the right to publicize any or all programs of community interest. This right does not obligate the library to provide publicity for any program.

14. Non-compliance with any of the above may result in the loss of meeting space privileges.
